Stages

An LMS is an IT solution. If you want it to work effectively, the right decisions must be made when it comes to questions of system installation, adaptation, and functionality. These important stages will help:

Assessment of needs. In this stage it is vital to formulate the goal of having a learning management system as concretely as possible. This is especially important, because the system you choose depends directly on your goal.

System compatibility with other HR systems. If you want your LMS to significantly affect your workload, think over how it would work together with already existing HR systems in the organization. E.g., if you already have an annual performance review IT platform, and you do not want to change it, maybe it is not worth putting that function into your learning management platform?

Supplier selection. If you want your LMS to be a long-term assistant, you have to decide what to expect from your LMS supplier. Do you just need tools, which will be further maintained by your IT department? Would you need support and consultation about the system’s functionality? Or maybe you need consultations about your learning strategy in general? The Talentator team can help in all of these areas.

System design. The supplier you choose to design the system will need certain information from you, your company’s brand book, your logo, etc., so that the whole LMS appearance and content, as well as functionality, would reflect your organization.

System testing. Once your suppliers design the system according to your requirements, your company’s representatives test the system at the agreed time and make sure that the system functions well and according to the agreed specifications. The suppliers then remove any bugs, if found.

System implementation. Although some suppliers might say that you can “install” the system in just a couple days, Talentator’s experience shows that installing the system and creating your first user accounts are just the first steps. The real work – a multitude of questions and answers – is a process that can last from just a few weeks up to a few months, depending on how intensely a company is working with the system. Talentator always organizes training about how your system functions in this stage (and we can also organize separate trainings for different user groups).

System maintenance. Maintenance of the system and its functionality can be kept up by your IT department or by the external supplier. In this case, it is important to agree on what bugs should be removed and how quickly, as well as how communication should work, so that working with the system would go smoothly for years after installation.

A learning management system provides the opportunity to plan the development of each position or employee. In the system, you can make a learning plan outline for each employee from his first day at work and modify the plan according to their progress. This way each employee will participate in mandatory e-learnings even if the manager in charge would forget.

When putting a scheduled e-learning course in the LMS, you can divide which employees need to participate and when. You can assign a timeframe in which they, at their convenience, must participate in the course. Additionally, you can plan and manage the time of all trainings with internal or external lecturers and the groups, and you can send all participants invitations and reminders.

Once mandatory trainings are entered into the system (e.g., work safety), from which employees would receive certification for a limited time, you and/or your users could receive reminders at the set time that the validity would soon expire.

All training materials are safely kept, systemized, and updated in one place once you have made it accessible.

After trainings at work, we use only 40% of the new training information (especially when we have not had a change to apply that knowledge practically). When using the learning platform, logging in, learning, and repeating the course content is possible anytime and anywhere you can access it by computer or phone. This flexible e-learning opportunity is especially useful for companies which have offices in different time zones. You can organize training sessions for everyone at one time.

LMS creates conditions that the responsible person can monitor the e-learning course progress in real time. They can clearly identify the strong and weak areas in a learner and find tools to fill in the gaps in education.

When you have an LMS, you do not have to worry about renting a venue, handouts, travel, and other usual costs of a regular training – the learning material is accessible from a remote location. It is also important to note that the number of learners and e-learning sessions is not strictly limited.

Thanks to LMS, you can control the situation and organize e-learnings whenever you need. The learning management system lets you efficiently and effectively communicate and teach about all new things within the organization: about a new service, product, legal order, and so on.

With the push of a few buttons, you can renew your training programs and their content and e-learning participants would be informed about it (of course, depending on the system settings).

An LMS provides the opportunity to continue and expand on one-time e-learning courses as much as it takes for the learners to internalize the course content. An e-learning can be split into parts.   1. Are you prepared to install this kind of system? What problems would the system solve and what kinds of new challenges could arise?
  2. Are there specialists in your company who could manage the technical side of the system, manage the updates and upkeep, and upload information into the system?
  3. What kind of external help might you need: IT, content, HR processes, or other kinds of experts?
  4. Do you have the necessary technological base for using the system?
  5. Are your employees competent enough to navigate the system? Which employees will need to learn and what will need to be taught?
